Part 2: participation in an employee survey from Great Place To Work® Nederland
As one of its products for organizations, Great Place To Work® Nederland offers an employee survey. If an employee survey takes place, that is done on behalf of the client: the relevant participating organization. In that case, Great Place To Work® Nederland acts on behalf of the organization as a processor and the relevant organization as controller. To obtain insight into the specific applicable agreements that your organization has with Great Place To Work® Nederland, we refer you to your own organization.
Participation in an employee survey is always voluntary. Under no circumstances can an employee be required to participate in such a survey. The goal of participation is to contribute to the development of the relevant organization. Generally speaking, the higher the number of participants in a survey, the more representative the results and therefore the more valuable these will be to your organization.
Use of personal data
Generally speaking, Great Place To Work® Nederland can say that the following personal data can generally be processed in the context of its services:
-
Name of employee
-
Email address of employee
This information can be used to help design the employee survey, to distribute the survey within your organization and to collect and process the results to generate an anonymous report that the organization can use for its internal development.
After processing the information into a final report, Great Place To Work® Nederland will completely delete the above-mentioned personal data within one year. Under no circumstance will Great Place To Work® Nederland use this personal data for purposes other than those specified here.
In the employee survey, the participant will be asked several questions that can contain personal data. The following questions can be answered when participating in the survey:
-
Gender
-
Age category
-
Length of employment
-
Type of employment
-
Hierarchical position
-
Main motivator for work
All of these questions are multiple choice. In this way, the participant is offered the possibility to participate in the employee survey, but without providing personal data to Great Place To Work® Nederland by means of the survey.
The survey includes two open-ended questions. The answers that are given to the open-ended questions will be copied literally in the (group) report. Here, it cannot be seen who made what comment, unless the respondent provides a name or other descriptions that can be traced back to the respondent. This is because the content of the comment will be copied word for word to do justice to the respondent’s opinion.
When the above-mentioned personal data is deleted (name and email address), it can be said with regard to this collected personal data – within the context of the General Data Protection Regulation (GDPR) – that it will remain with Great Place To Work® Nederland in anonymous form for a maximum of 5 years.
Great Place To Work® Nederland uses this anonymous data to compile the list of Best Workplaces, to determine benchmarks and for trend analyses. This data will only be used within the Great Place To Work® network and will not be shared for other purposes or with other organizations.
Purposes
Great Place To Work® Nederland processes the above-mentioned information for one or more of the following purposes:
-
Insight into the work perception of the employees in your organization.
-
Recognition as a good employer by means of a Great Place To Work certification or as Best Workplace.
-
Preparing trend analyses, reports and white papers on the development of good employer practices in the Netherlands.
Confidentiality
Great Place To Work® Netherlands makes every effort to handle the responses of individual respondents to an employee survey as confidentially as possible. To this end, Great Place To Work® Netherlands adheres to the following rules:
-
Surveys (regardless of whether they are answered by phone, in writing, electronically, face-to-face, or in any other way) are never made available to the client as individually identifiable pieces.
-
Great Place To Work® Netherlands will only break down the results into different groups if a group contains at least five respondents. If a group is smaller than the agreed minimum group size, we never report average results for this group.
-
Email addresses are deleted within five days of the survey's closure.
-
The survey data is stored in a dataset that is separated from the email addresses.
-
The survey is optional and does not require the entry of personal data.
-
Answers to open-ended questions are taken literally. Therefore, participants are asked in the introductory text not to include personal data in the answers to open-ended questions.
